    Hi,

    The BHF online team operates as an internal digital agency.

    We are taking briefs for new projects with a templated Word doc and small update requests are sent by email.

    It is becoming increasingly difficult for us to manage new requests and prioritise the jobs.

    I am looking for a web based system with a form our internal users could fill with different criteria for major projects, small projects or update of existing pages.

    Maybe something similar to a credit card application system which would help us, in the admin part, prioritising projects and managing resources.

    Is there such a system? Or which systems are used by agencies?

    We are a software development company, we internally use an tracking tool which is based on open source technology. Alternatively, we had recently created a customised tracking solution for a client for their specific needs.

    Hi Bertrand,

    We are a technical and creative agency (aka new media) dealing with approx 50-100 traditional design and web jobs per month. Like you we need to carefully manage the brief, track progress of jobs through the studio, record time, take instruction for amendments, corrections etc.

    We have tried a number of methods and 'off-the-shelf' solutions in the last 2 years hoping for the perfect fit and none have worked for us. We are situated over 2 sites so need a web based solution and would also like our clients to have certain access to their jobs.

    In summary we are approximately 50% through building a web application tool based on our own CMS system (www.sitesolved.com). Something we were putting off as agencies rarely like to spend large development time on non paying jobs.

    We are committed to finishing this application for our own needs but perhaps you would like to get involved in this project at some level.

    We use http://www.coretime.ie/. This will provide your clients with a web based interface that will allow them to make requests for work packages. Furthermore you can manage your resources time against the work packages and either use the tool to automatically generate invoices or hook it up to your existing accounts package. 

    If you just want to provide access for clients to make change requests then any decent web application developer could knock this up in a couple of days! You should put it out to tender on the forum to see what response you get.

    We use Microsoft Sharepoint Services integrated with Office 2003 applications - Outlook, Project, Word - to manage workflow, priorities and task assignments for new projects, change requests and support items.

    Using the list, task and document collaboration built into Sharepoint we can edit the same jobs, tasks within projects, and documents at the same time, merge changes from Office 2003 documents between multiple offices, see and rollback to previous versions of every task and document.   Sharepoint also has built in alerts that each user can ask to be sent (or not sent) about updates to any or every item.

    Some serious thought is needed from you before the initial setup because Sharepoint is so highly configurable, but you'd have to go through that thought process with any software crucial to the operation of your business. 

    Sharepoint - just like our own online tools - is true to Microsoft's new mantra: "It Just Works".

    You should also look at this time and billing solution which I first came across a few years ago:

    It integrates with many leading project management solutions which don't always have the best timetracking and billing capabilities.

    Ecstra http://www.ecstra.com has a web based project management module and is designed for extensibility. We've built our internal quality management system on it.
